Hours: Daylight Schedule, Monday through Friday 7:30 am – 4:00 pm
 
Status: Full-Time/Permanent - Direct Hire as an employee of the Company with access to full benefits

New Hire Starting Pay: Up to $21.00 per hour (Based on experience) 

After-Hire Earning Potential: Your compensation grows as you do. The Company offers incremental, performance-based pay increases tied to job experience and technical proficiency. While initial offers are based on current experience, successful team members have the opportunity to reach an earning ceiling of $28.00 per hour through the internal advancement structure.

Mandatory Requirements

Applications will not be considered unless all of the following criteria are met:

  • Professional Experience: Minimum of 2 years’ experience in a medical office environment.
  • Specialized Expertise: Direct experience with surgery scheduling, obtaining insurance authorizations/pre-certifications, and medical record management.
  • Regulatory Knowledge: Proficiency in insurance regulations, including Medicare, Blue Cross/Blue Shield, Managed Care plans, and Workers' Compensation as they relate to surgical approvals.
  • Education: High School Diploma or equivalent; completion of a Medical Assisting program is highly preferred.
  • Technical Skills: Mastery of medical terminology and high proficiency in practice management databases (Epic experience is a significant advantage).
  • Financial Literacy: Ability to discuss and coordinate financial arrangements, including the collection of pre-payments.
Position Overview

The Surgical Services Coordinator is integral to our surgical operations. This role ensures the seamless coordination of inpatient and outpatient procedures by serving as the primary liaison between patients, surgeons, administrators, and hospital personnel. You will be responsible for the end-to-end scheduling lifecycle, from initial diagnostic testing to post-operative follow-ups.

Core Responsibilities

Surgical Coordination & Logistics
  • Schedule all surgical cases, pre-screening exams, diagnostic testing, and post-operative appointments.
  • Coordinate and monitor patient progress through tracking systems and Electronic Health Records (EHR).
  • Prepare and transmit all admission reservations, including accurate demographic and insurance data, to facility partners.
  • Secure necessary approvals for hospital admissions and troubleshoot any procedural or operational bottlenecks.
Patient Advocacy & Education
  • Provide patients with comprehensive pre- and post-operative instructions according to clinical guidelines.
  • Ensure all informed consents are signed and filed appropriately.
  • Act as the primary point of contact for patient inquiries, providing educational materials and responding to telephonic concerns with tact and diplomacy.
  • Coordinate patient education seminars and physician speaking schedules.
Administrative & Financial Integrity
  • Obtain necessary pre-certifications and referrals well in advance of the procedure date.
  • Verify that all billing and insurance information is current and accurate.
  • Manage financial counseling prior to surgery, including the collection of patient responsibilities.
  • Maintain strict confidentiality regarding all patient and job-related information.
Operational Support
  • Attend and schedule departmental meetings; collect data for clinical research studies as required.
  • Collaborate with the clinical team to ensure efficient department functioning.
  • Support internal and external marketing efforts and complete special projects as assigned by leadership.
