Retirement Plan Administrator
Location: Hybrid with an In-Office Requirement – Pittsburgh, PA 15219 (Downtown) - The role includes a mix of on-site and remote workdays.
Status: Full-Time, Direct Hire
Schedule: Full-Time, Daylight - Monday–Friday
New Hire Starting Pay: Up to $35.00/hour (Based on experience)
After-Hire Earning Potential: Your compensation grows as you do. The Company offers incremental, performance-based pay increases tied to job experience and technical proficiency. While initial offers are based on current experience, successful team members have the opportunity to reach an earning ceiling of $52.00 per hour through the internal advancement structure.

Retirement Plan Administrator
Are you a data-driven professional with a deep understanding of retirement plan mechanics? We are looking for an experienced Retirement Plan Administrator who pairs technical expertise with a keen eye for detail. The ideal candidate isn't just comfortable with data—they thrive on organizing it, using Advanced Excel functions to ensure our plan administration remains seamless and compliant.
Responsibilities
- Plan Administration: Support the day-to-day administration of 403(b), pension, and legacy plans, ensuring high standards of accuracy and compliance.
- Payroll & Compliance Integration: Coordinate with HRIS, Payroll, and external vendors for accurate biweekly, monthly, and executive payroll processing.
- Data Analysis: Analyze complex pay files to monitor 402(g) and 415 limits. Review and resolve error reports from automated file processing to maintain data integrity with our retirement recordkeeper.
- Union Reporting: Run monthly union reports and calculate pension contributions based on specific Collective Bargaining Agreements (CBAs) for various unions (Central Pension Fund, Steelworker’s, SEIU, and Teamsters).
- Audit & Corrections: Update and analyze retirement data files to perform necessary corrections under established IRS recommended programs.
- Legacy & Plan Changes: Assist with loan payment processing, service credit accuracy, and complex plan events such as mergers, transfers, spinoffs, or withdrawals.
- Strategic Partnership: Partner with the Retirement Plans and Compliance Manager to stay ahead of regulatory and industry changes (ERISA, IRS, DOL) that impact our programs.
Minimum Requirements & Qualifications
- Education & Experience: * Bachelor’s degree in HR, Business, or a related field + 3 years of retirement, employee benefits, or payroll experience.
- OR High School Diploma/GED + 5 years of retirement, employee benefits, or payroll experience.
- Technical Excel Mastery (Required): You must be proficient in organizing and manipulating large datasets. This includes:
- Building and managing Pivot Tables for data summarization.
- Utilizing VLOOKUPs (or Index/Match) to merge and audit disparate data sources.
- Advanced filtering and sorting to identify payroll discrepancies.
- Industry Knowledge: Strong preference for candidates with experience in retirement plan administration and familiarity with ERISA, COBRA, IRS Code, and Dept. of Labor regulations.
- Skills: Exceptional analytical abilities and the communication skills necessary to present data findings to the broader team.
