Medical Office Supervisor – Cosmetic & Dermatology

Role Type: Full-Time, Regular Employee of the Company (Not a temp or contract assignment)

Shift: Day Job (Monday through Friday, 8:00 AM – 4:30 PM; standard daytime business hours)

Work Arrangement: On-site

Location: Sewickley, PA 15143 (Requires one day per week travel to the Shadyside area of Pittsburgh, PA 15232)

New Hire Starting Salary Range: $19.39 – $21.96 per hour (After hire, pay increases can be earned, see below).

About the Opportunity

This is a permanent, full-time career opportunity within a premier cosmetic surgery and skin health specialty center. If selected, you will be hired directly as a regular employee of the organization we represent. You will be on their payroll and eligible for their full suite of benefits from your start date. This is not a temporary, contract, or "temp-to-hire" role. This position is ideal for an administrative professional with a patient-centric mindset who is ready to step into frontline operational leadership and staff management.

Purpose

The Medical Office Supervisor oversees daily front-office operations and supervises administrative personnel within a high-profile dermatology and cosmetic specialty practice. This professional is responsible for driving efficient patient flow, optimizing provider scheduling templates, and managing staff assignments to support multiple clinical sites. Acting as a bridge between frontline staff and practice management, this role is essential for resolving customer complaints, ensuring billing accuracy, and maintaining an upscale, consumer-focused environment.

Responsibilities
  • Front Office Operations: Direct daily reception activities, coordinate administrative staff assignments, and manage coverage schedules to ensure seamless operation during peak loads, vacations, or illness.
  • Patient Flow & Experience: Foster a patient-centric environment aligned with modern healthcare consumerism initiatives, ensuring an upscale, professional atmosphere during check-in and follow-up sequences.
  • Template & Schedule Management: Oversee and audit complex provider scheduling templates to ensure accurate patient booking and optimize timely, specialized clinical access.
  • Revenue Cycle Integration: Supervise the daily processing of CPT and ICD-10 diagnosis codes for inpatient and outpatient charge inputs. Partner with the Central Billing Office (CBO) to work denial queues and resolve intake discrepancies.
  • Intake & Demographics Verification: Ensure the precise capture of patient registration data, insurance profiles, third-party referrals, and medical authorizations.
  • Training & Staff Development: Lead the onboarding, training, and cross-training of frontline administrative personnel. Collaborate with practice management on the selection, monitoring, and performance evaluation of front-office staff.
  • Data Metrics & Reporting: Compile and analyze departmental data strings regarding patient caseloads and physician time intervals to recommend optimal staffing levels.
  • Patient Relations & Resolution: Monitor customer service quality, gather formal feedback from staff and attending physicians, and directly investigate and resolve complex patient complaints.
Minimum Essential Requirements
  • Experience & Education Pathways: 
    • Bachelor’s Degree with a minimum of six (6) months of professional healthcare operations experience; 
OR
  • Associate’s Degree in Healthcare Administration, Business, or a related field with a minimum of one (1) year of healthcare operations experience
 
  • Must have strong understanding of CPT and ICD-10 diagnosis codes
  • Prior medical office leadership experience
  • Operational Adaptability: Must possess a valid driver’s license and the reliability to commute to the primary Sewickley site four days a week, with a consistent one-day-per-week rotation to the Pittsburgh/Shadyside clinic.
  • Technical & Interpersonal Skills: Exceptional organizational, training, and conflict-resolution abilities. 
  • Medical Experience: Strong foundational knowledge of medical insurance registration, medical terminology, and medical practice management billing workflows.
