Medical Office Administrative Coordinator

(On-site, Washington, PA 15301)

  • Job Type: Full-Time, Direct-Hire (Permanent placement on company payroll with full benefits; not a temporary job)
  • Location: Washington, PA 15301
  • Schedule: Full-Time, Day Shift (Monday – Friday, staggered schedules between 8:00 AM – 4:30 PM and 9:00 AM – 5:30 PM; no weekends or holidays required)
  • New Hire Starting Base Pay: $19.80 – $22.45 per hour (Starting salary placement is determined by direct administrative support, medical office, or billing/insurance experience.)
  • Future Earning Potential: Position salary range progresses up to $30.40 per hour over time through performance, tenure, and administrative career ladder advancement.
Mandatory Qualifications

  • Education: High school diploma or GED equivalent required.
  • Experience & Skills: Minimum of three (3) years of administrative support experience required. Working knowledge of general business operations, basic accounting principles, and data analysis skills.
  • Systems Knowledge: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access), electronic mail, and calendar management.
  • Customer Service & Communication: Strong interpersonal and reasoning skills to route incoming calls, coordinate with multidisciplinary care teams, interact with visitors, and draft professional correspondence.
How You'll Make an Impact

  • Insurance & Financial Navigation: Complete insurance authorization requests for patient evaluations and ongoing physical therapy visits; collect, record, and secure point-of-service patient copayments.
  • Executive & Calendar Operations: Proactively manage supervisory calendars, schedule meetings, coordinate venue and catering logistics, and support administrative workflow continuity.
  • Departmental & Data Support: Assist with content creation and editing for department presentations; collect data and compile operational records for therapy management.
  • Practice & Clerical Management: Triage incoming calls, compose general correspondence across clinical departments, maintain organized office files, order supplies, and oversee general equipment maintenance.
