Shift: Monday–Friday, Day Job (Shifts scheduled between 7:30 AM – 5:00 PM)

Work Arrangement: On-site

New Hire Starting Salary Range: $19.74 – $22.22 per hour

Purpose
We are seeking a detail-oriented and professional Medical Front Office Specialist to support a busy, specialized Infectious Disease medical practice. In this role, you will be the core coordinator for patient scheduling, data entry, and front-office administration. This position requires an adaptable individual who excels at multitasking, provides exceptional customer service, and ensures the efficient flow of both patient traffic and administrative clinical documentation.

Responsibilities
  • Patient Coordination: Greet and register patients promptly, manage check-in and check-out functions, provide directions/instructions, and maintain a clean, orderly waiting environment.
  • Schedule Management: Efficiently coordinate, schedule, and reschedule patient appointments and diagnostic testing; verify and maintain provider schedules and confirm appointments.
  • Data Integrity & Insurance: Obtain and enter comprehensive patient demographic and insurance information. Secure required insurance authorizations, verifications, and medical referrals in a timely fashion.
  • Financial & Billing Support: Utilize the automated financial management system to enter charges, process co-payments, perform daily reconciliations, and support the inpatient billing process.
  • Medical Records & Correspondence: Prepare patient charts for upcoming visits, process authorized medical records release requests, and assist providers with reviewing transcription and dictation accuracy.
  • Office Administration: Answer and triage telephone calls, take accurate messages, manage inventory levels, and assist with ordering office supplies.
Minimum Essential Requirements
  • High School Diploma or GED.
  • Minimum of three (3) years of work experience (experience in a medical office or clinical setting).
  • Prior experience working with medical terminology in a medical office or clinical setting
  • Technical Proficiency: Proven word processing and computer experience required, including navigating computerized scheduling and electronic medical record systems.
  • Strong interpersonal skills with the ability to communicate courteously and effectively with patients, families, and multidisciplinary healthcare departments.
