New Hire Starting Salary Range: $19.50 - $22.00 per hour

Purpose
The Medical Front Office Specialist serves as the essential first point of contact for patients, warmly welcoming them upon arrival and ensuring a positive, seamless experience throughout their visit. This role is responsible for facilitating patient navigation using consumer-friendly technologies, educating patients on copayments and financial responsibilities, collecting point-of-service payments, updating comprehensive demographic/insurance information, and scheduling vital follow-up care. This professional consistently demonstrates strong customer service and service-recovery skills, contributing directly to a culture of clinical excellence.
Responsibilities
- Patient Arrival & Reception: Provide a warm, professional greeting to all arriving patients and families. Guide patients through self-arrival check-in technologies or perform traditional desk registration based on patient preference.
- Financial Coordination: Collect required copayments and outstanding patient balances at the point of service. Educate patients on financial responsibilities and connect them with institutional financial advocacy resources as needed.
- Scheduling & Continuity: Confirm and update patient registration profiles at checkout, schedule follow-up appointments across the continuum of care, and resolve outstanding patient questions to ensure seamless continuity of care.
- Insurance & Compliance: Confirm and verify insurance benefits with active carriers using online verification systems or direct telephone inquiries. Obtain formal signatures for consent to treatment and financial responsibility in strict accordance with HIPAA regulations.
- Digital Portal Advocacy: Actively promote the adoption of the organization's online patient portal, assisting patients with registration and navigation where applicable.
- Service Recovery: Actively apply standard service-recovery principles, taking immediate, empowered action to resolve patient issues when an experience does not meet institutional excellence standards.
Minimum Essential Requirements
- High School Diploma or equivalent required.
- Two (2) years of experience in a medical office, insurance billing function.
- Prior experience navigating electronic health record systems (such as Epic or Medipac)
- Proficient typing and computer skills
- Knowledge of medical terminology
- Strong interpersonal, communication, and organizational skills with a firm commitment to patient privacy and empathetic care.
- Ability to work effectively within a fast-paced, collaborative team environment.
