Purpose
The Leave Specialist provides essential administrative, compliance-driven, and transactional support services for employee leave of absence requests. Serving as a dedicated subject matter expert, this professional guides employees, family members, managers, and HR partners through various leave portfolios—including FMLA, Military, Jury, Bereavement, and company-specific programs. This role is essential for calculating exact leave parameters, updating internal HRIS systems, managing complex concurrent benefits, and supporting smooth return-to-work pathways.
Responsibilities
- Leave Coordination & Eligibility: Review, process, and coordinate incoming leave requests; verify employee regulatory eligibility, calculate precise leave lengths, and monitor maximum allowable durations under federal, state, and corporate policies.
- Compliance Frameworks: Apply standardized legal rules and provisions mandated by the Family and Medical Leave Act (FMLA), statutory state leave programs, and employer-specific benefit policies.
- Stakeholder Advisement: Act as a central point of contact to advise employees, their families, operational managers, and HR professionals on leave options, tracking metrics, and documentation protocols.
- Cross-Functional Communication: Manage comprehensive, continuous communication loops with the employee, their supervisor, and internal integrated partners (such as Disability Specialists) to ensure seamless, concurrent short-term disability administration.
- HRIS & Payroll Systems Data Entry: Utilize enterprise platforms—including PeopleSoft (HRIS), Kronos (Payroll), and proprietary web-based vendor portals—to input real-time leave data, track open cases, and generate compliance reports.
- Case Tracking & Intake: Methodically track, log, and audit employee absence reports submitted across multiple intake channels, including web portals, phone queues, fax transmissions, and email correspondence.
- Problem Resolution: Actively collaborate across departments to resolve transactional bottlenecks, working directly with payroll, corporate HR, and management to correct processing errors.
- Process Optimization: Assist in auditing departmental workflows and deliver strategic recommendations to improve the efficiency, quality, and empathetic delivery of leave services.
Minimum Essential Requirements
Experience & Education Pathways:
- Bachelor’s Degree with a minimum of one (1) year of dedicated leave of absence processing or Human Resources experience;
OR
- High School Diploma / GED with a minimum of three (3) years of dedicated leave of absence processing or Human Resources experience.
- Core Specialty Requirement: Minimum of one (1) year of active, hands-on absence/leave administration experience is strictly required.
- Technical Compliance: Functional knowledge of federal and state leave laws (including FMLA) and corporate leave architectures. Proven proficiency navigating web-based database programs and Microsoft Office applications (Word, Excel, Outlook).
- Communication Skills: Exceptional verbal and written communication skills, with the ability to maintain clarity, empathy, and professional composure across high-volume inbound and outbound phone queues.
Licensure and Certifications
- Mandatory Credential: Must obtain the Certified Leave Management Specialist (CLMS) designation within twelve (12) months of your formal hire date. To retain this professional credential, a minimum of 20 hours of continuing education credits must be completed every two years.
