LocationHybrid with an in-office presence in Pittsburgh, PA 15213 (Oakland Area)

Hybrid: The role includes a mix of on-site and remote workdays. Specific schedules may vary by team or role.

Status: Full-Time, Direct Hire as an employee of the Company with access to full benefits

Schedule: Full-Time, (Monday–Friday, Daylight Schedule)

New Hire Starting Pay: Up to $23.15/hour (Based on experience) 

After-Hire Earning Potential: Your compensation grows as you do. The Company offers incremental, performance-based pay increases tied to job experience and technical proficiency. While initial offers are based on current experience, successful team members have the opportunity to reach an earning ceiling of $32.00 per hour through the internal advancement structure.

Job Purpose
The Lead Surgical Coordinator provides high-level administrative and clinical leadership for the surgery scheduling team. This role is responsible for the end-to-end coordination of complex inpatient and outpatient surgical procedures, ensuring seamless patient flow, regulatory compliance, and the mentorship of scheduling staff.

Key Responsibilities
  • Leadership & Supervision: Provides direct leadership for all surgery schedulers. Assists management with supervisory activities, including recruiting, hiring, conducting performance appraisals, and assigning daily workflow tasks.
  • Surgical Coordination: Manages high-volume scheduling for inpatient and outpatient procedures. Coordinates all necessary pre-testing, physician orders, and admission reservations, including the transfer of demographics and insurance data to hospital facilities.
  • Clinical Support & Triage: Accompanies patients to exam rooms, collects vitals/history, and assists with transfers and specimen collection. Prepares and maintains procedure rooms and instruments according to infection control and OSHA/CLIA protocols.
  • Insurance & Authorization: Obtains mandatory pre-certifications and referrals prior to surgery. Verifies insurance coverage (Medicare, BC/BS, Managed Care, Workers Comp) and ensures billing accuracy.
  • Patient Education: Delivers comprehensive pre- and post-operative instructions. Provides individualized family education and supportive counseling as needed.
  • Administrative Oversight: Mentors and orients new hires as a department preceptor. Participates in the creation and implementation of departmental goals, processes, and standard operating procedures.
Mandatory Requirements
  • Experience: 4–5 years of progressive experience in a medical field is required, with a documented background in surgical scheduling and patient flow management.
  • Education: High School Diploma or equivalent. Successful completion of a Medical Assisting program is required.
  • Technical Proficiency: Must be proficient in the Epic practice management system and standard medical office software.
  • Medical Knowledge: Must possess a strong mastery of medical terminology and a deep understanding of insurance regulations (Medicare, BC/BS, Managed Care, and Workers’ Compensation).
  • Professionalism: Exceptional interpersonal skills with the ability to exercise tact and diplomacy when coordinating between physicians, patients, and hospital personnel.
  • Operational Stamina: Ability to work independently, prioritize high-demand tasks, and stay late to cover clinical areas as needed to ensure patient safety and department coverage.
