Clinical Operations Coordinator – Ophthalmology

LocationOn-site – Pittsburgh, PA 15219 (Downtown Area)

Status: Full-Time, Direct Hire

Schedule: Full-Time, (Monday–Friday, 7:00 a.m. – 5:30 p.m. variable to accommodate clinic schedule)

New Hire Starting Pay: Up to $33.00/hour (Based on experience) 

After-Hire Earning Potential: Your compensation grows as you do. The Company offers incremental, performance-based pay increases tied to job experience and technical proficiency. While initial offers are based on current experience, successful team members have the opportunity to reach an earning ceiling of $48.00 per hour through the internal advancement structure.

The Role
We are seeking a high-level Clinical Operations Coordinator – Ophthalmology to lead clinical operations for a premier vision provider. This leadership position oversees four direct reports and is responsible for the seamless integration of staff allocation, provider scheduling, and patient flow.
As a central liaison between medical staff and providers, you will be the driving force behind our "no-wait" patient experience. This role requires a blend of administrative oversight, personnel management, and hands-on clinical support, including assisting with patient workups or injections as needed.

Key Responsibilities
  • Workflow Leadership: Utilize internal reporting tools and daily testing orders to orchestrate clinic flow. Lead daily "huddles" with physicians and clinical staff (technicians, imagers, scribes) to ensure every patient has a clear path through the clinic.
  • Provider Partnership: Act as a strategic partner to providers, guiding workflow plans and addressing bottlenecks in real-time. You are authorized to manage provider schedules to maintain compliance with departmental efficiency protocols.
  • Patient Advocacy: Actively monitor patient wait times. If a delay exceeds 10 minutes in any segment, you will personally communicate the reason to the patient and immediately address the operational bottleneck.
  • Staff Development: Oversee the cross-training of all technicians and imagers to ensure the team is versatile and capable of providing all services for any patient presenting to the clinic.
  • Resource Management: Ensure all imaging and lane equipment within your assigned pod is properly utilized, inspected, and maintained according to regulatory standards.
  • Clinical Support: Step in to support workups and imaging as clinic volume dictates to ensure high-quality ophthalmic care.

What You Bring – Minimum Required Qualifications:
  • Expertise: A minimum of 6 years of ophthalmic clinical experiencerequired.
  • Leadership: 3+ years of supervisory/coordinating experience (or 1 year as a Lead Coordinator).
  • Technical Proficiency: Strong analytical skills with the ability to use data (filtering, sorting, and reporting) to inform staffing decisions.
  • Communication: Exceptional verbal and written skills; the ability to handle sensitive staff or provider escalations with professionalism.

Qualifications & Certifications
  • Certification: JCAHPO certified (Minimum Certified Ophthalmic Assistant (COA) level required). 
    • COA – Certified Ophthalmic Assistant
    • COT – Certified Ophthalmic Technician
    • COMT – Certified Ophthalmic Medical Technologist
  • Life Support: Valid CPR certification.
  • Education: High School Diploma/GED required; advanced degree in a related field preferred.
